Position Overview
We’re looking for a detail-oriented, tech-savvy Administrative Assistant to support the daily operations of our remote, fast-paced team. This role requires strong organizational skills, excellent communication, and the ability to work independently. Must live in MST or CST time zones.
Key Responsibilities
Communication & Scheduling
- Manage internal and external email and Google Voice communications
- Draft and manage contracts and professional correspondence
- Support social media messaging in collaboration with the team
- Maintain founders’ calendars and coordinate all meetings
- Manage the company’s internal and industry event calendars
Marketing & Content Support
- Maintain the marketing calendar and oversee email campaigns
- Assist with social media content creation and scheduling
- Manage and update user databases
Website & ATS Management
- Post jobs and maintain candidate/client records
- Troubleshoot technical issues and coordinate with developers
- Maintain website content and distribute blog posts
Client Onboarding & HR Support
- Send client agreements and onboarding materials
- Set up new clients in the ATS
- Manage HR tasks, including PTO, holidays, and insurance enrollment
- Support contractor oversight and internal hiring processes
- Maintain the company operations manual
Qualifications
- Previous administrative or operational support experience
- Highly organized with strong multitasking skills
- Clear and professional communication skills
- Proficient in Excel, PowerPoint, and Google Workspace
- Comfortable learning new technologies
- Dependable and self-motivated in a remote setting
- Familiarity with the medical aesthetics industry is a plus
- Ability to work in a role with high visibility and accountability
