Job Description

Our surgery center enjoys a rich heritage as one of the best plastic surgery clinics and the first free-standing ambulatory surgery center in all of Los Angeles. We’ve become known for providing a surgical experience unlike any other — one that makes our patients feel special and fosters a collaborative atmosphere for our doctors, nurses and administrative staff.

We are seeking a professional and detail oriented individual to join our prestigious practice. This position will be an integral part of the flow of our clinic and assist with the following tasks:

  • Assist in troubleshooting clinic and clinic personnel daily crises
  • Assist in interviewing and onboarding all Clinic Surgical center staff and per diem contract laborers
  • Assist Administrator in setting up Medical Staff and General Staff Meetings – take minutes and follow through on recommendations, new projects, etc.
  • Work with nursing staff to arrange quality assurance meetings; coordinate projects and prepare documentation
  • Responsible for coordination, documentation, and compliance for the AAAHC accreditation.
  • Coordinate safety walks, fire drills, employee training
  • Coordinate quarterly reports including, but not limited to peer review, patient
  • questionnaires, infection prevention, etc
  • Oversee preparation of operating room schedules weekly; notify staff and anesthesia of changes as necessary, scheduling scrub techs
  • Coordinate all outside doctor patient paperwork, work with nursing staff to ensure all required documents have been received
  • Assist nursing staff to ensure all patient paperwork has been collected weekly
  • Assist in the maintenance of all equipment – air conditioner, generator, elevator, plumbing and electrical, cleaning crew, linens, oversee parking lot and all unspecified building needs
  • Credentialing of new physicians and nursing staff
  • Recording weekly OR fees, manage and collect outstanding balances from both internal and external doctors
  • Collect and prepare payroll for the Administrator
  • Liaison between all offices
  • Coverage for reception desk when needed
  • Assist in all human resource requirements
  • Attend seminars as required
  • Assist Administrator to collaborate and facilitate all special projects at the clinic (i.e. clinic remodel, clinic branding, meeting with possible new tenants)
  • Regular ordering of Recovery, cleaning, kitchen and office supplies
  • Assist Administrator other duties as assigned

Key Responsibilities

  • Scheduling and staffing surgeries and managing calendars for various team members.
  • Manage and organize files, ensuring all documents are accurately filed and easily retrievable.
  • Interact with various doctor offices via phone calls and emails with professionalism, demonstrating excellent phone etiquette while addressing inquiries or directing calls appropriately.
  • Work with administrator on various tasks for AAAHC accreditation.
  • Collaborate with team members to ensure smooth office operations and assist with any administrative tasks as required.
  • Perform data entry tasks accurately and efficiently, including typing documents and reports as needed.

Qualifications

  • Proven experience in an administrative role or similar position is preferred.
  • Excellent personality management skills as you are a liaison for 25+ employees and doctors
  • Strong computer literacy skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent time management skills with the ability to prioritize tasks effectively.
  • Strong attention to detail and organizational skills are essential for maintaining accurate records.
  • Ability to work independently as well as part of a team in a fast-paced environment.
