Proactive Medical Assistant - Driving The Patient Experience

About the Role:

We are seeking a highly motivated and proactive Medical Assistant to help drive our patient experience. In this role, you won’t just assist, you will own the patient journey, ensuring every visit is seamless, meticulously executed, and leaves a lasting positive impression along with the proper follow-up and checking in. You will be the hub of communication and the driver of operational excellence in a fast-paced, high-end environment.

Key Responsibilities:

  • Lead the Patient Experience: Take ownership of the patient journey from the moment they are ready to be roomed. Greet and prepare patients for a variety of aesthetic procedures with warmth and confidence.
  • Drive Clinical Workflow: Proactively manage treatment room setup, anticipate the provider's needs during procedures, and accurately scribe notes to ensure seamless and efficient patient care.
  • Champion Operational Excellence: Take initiative to ensure all treatment rooms are impeccably stocked, prepped, and maintained. Actively manage inventory and strictly adhere to all sterilization and safety protocols.
  • Master Meticulous Documentation: Proactively manage patient records in our EMR/CRM, ensuring all vital information, consents, and pre/post-procedure photos are secured and prepared for provider review.
  • Fuel Business Growth: Play a key role in patient re-engagement by tracking Rx refills and following up on appointments. Proactively support retail sales and encourage positive patient reviews to grow the practice.


What We Expect:

  • Before the Provider Enters the Room: You own this phase. Ensure all paperwork is complete, EMR/CRM is prepped, vitals are taken, and the room is perfectly set up with all necessary tools and supplies.
  • While the Provider is with the Patient: You are a vital collaborator. Anticipate the provider's needs, assist directly with procedures, provide accurate and timely scribing, and ensure the patient is comfortable and engaged throughout.
  • After the Provider Leaves the Room: You manage the patient's next steps. Provide thorough aftercare instructions, discuss follow-up appointments, and handle checkout for a seamless conclusion to the visit.
  • Beyond the Appointment (Ongoing): You are a forward-thinker. Actively monitor patient communications and schedule a look-ahead to flag concerns. Provide feedback on our systems to continuously enhance our processes and patient experience.

Qualifications

  • Certified Medical Assistant (CMA) or equivalent training/experience in a clinical setting (aesthetics, dermatology, or wellness medicine preferred).
  • Minimum 2 years of direct patient care experience
  • Exceptional organizational skills with the ability to anticipate provider needs and manage multiple priorities in a fast-paced environment.
  • Proven ability to scribe accurately and efficiently in an EMR/CRM system.
  • Knowledge of sterile technique, safety protocols, and inventory management.
  • Proactive, self-directed, and resourceful—demonstrated ability to “own” processes rather than simply follow them.
