Position Overview
As the first point of contact for our patients, you will set the tone for an exceptional experience. This role is ideal for someone who thrives in a dynamic, upscale clinical setting, is passionate about aesthetics, and excels in delivering white-glove service. The ideal candidate will be warm, efficient, detail-oriented, and capable of managing multiple responsibilities while maintaining a calm and professional demeanor.
Key Responsibilities
- Greet and check-in patients with professionalism and warmth
- Answer and route incoming calls; respond to voice messages promptly
- Manage scheduling for multiple providers and locations
- Create and update patient charts in our EMR system
- Confirm appointments and coordinate pre- and post-visit communication
- Collect and reconcile payments; ensure secure handling of sensitive information
- Maintain HIPAA compliance and confidentiality at all times
- Assist with filing, patient documentation, and preparing surgical packets
- Keep the front desk, waiting area, and common spaces clean, organized, and aesthetically aligned with the practice’s standards
- Monitor inventory and support basic office organization, including receiving packages and sorting mail
- Be a collaborative team member willing to assist other staff and departments as needed
Qualifications
- High school diploma or equivalent (college coursework or degree preferred)
- Strong communication and interpersonal skills
- Proficiency in Microsoft Office (Word, Excel); EMR experience preferred
- Professional appearance and demeanor
- Ability to multitask in a fast-paced environment
- Experience in a medical, aesthetics, or luxury service environment is a plus
