Job Description

Part-Time Front Desk Associate

Our practice in Woburn + Winchester, MA

About our practice

Our practice is a luxury, evidence-based medical spa dedicated to the art and science of healthy, radiant skin. Our team blends medical expertise with an elevated client experience, where every detail reflects care, confidence, and clinical excellence.

Who This Role Is For

We are seeking a Part-Time Front Desk / Reception Associate who embodies professionalism, warmth, and a passion for aesthetics. This individual will play a vital role in shaping the first impression of our practice, delivering an exceptional patient experience while supporting daily practice operations and contributing to the overall success of the team.

This role requires prior front desk or patient-facing experience in a med spa, dermatology, plastic surgery, or similar medical aesthetics setting. We’re looking for someone who is already familiar with medical aesthetics with a strong sales and customer service background.

We’re excited to grow with someone who loves the front-of-house side of a medical spa. Please note that this is a non-clinical role.

What You'll Do

  • Welcome patients and deliver a polished, personal experience from arrival through checkout.
  • Manage scheduling, confirmations, cancellations, and patient inquiries by phone, email, and text.
  • Process payments, review after-care instructions, and book future appointments.
  • Follow up on new leads and manage patient information in our CRM platform.
  • Educate patients on treatments, skincare, memberships, and packages, and confidently close sales based on provider recommendations.
  • Support providers with room turnover and smooth patient flow.
  • Track low inventory, assist with restocking and ordering.
  • Maintain accurate patient records and uphold patient confidentiality and practice protocols.
  • Spot scheduling or operational issues and help resolve them proactively.
  • Help run in-house and community events throughout the year.

What You Bring - Required

  • Previous front desk or patient-facing experience in a med spa, dermatology, plastic surgery, or medical office.
  • Working knowledge of aesthetic treatments and skincare, and comfort discussing services and pricing with patients.
  • Experience with scheduling and payment software(s). Boulevard, Alle, Aspire, and Cherry experience is a big plus.
  • Excellent verbal and written communication.
  • Strong organization, attention to detail, and the ability to stay composed at all times.
  • A genuinely positive, upbeat attitude and a team-first mindset.
  • Dependability: you show up on time and keep a consistent schedule.

Schedule

  • Part-time, up to 30 hours per week.
  • Flexible weekday and rotating Saturday availability required.
  • Our practice operates Tuesday - Friday from 9:00am - 7:00pm, with staff scheduled between 8:30am and 7:30pm to accommodate opening and closing responsibilities. We are seeking candidates with availability throughout the day, including morning, afternoon, and/or evening shifts. Rotating Saturday availability (8:30am - 4:00pm) is also required.
  • Based primarily at Woburn, with occasional coverage in Winchester, MA. Please note that we’ll be expanding our Winchester studio hours in the new year, so additional coverage there may be needed.
  • Flexibility for additional shifts is appreciated.
  • Because this is a part-time role and we want to protect our patients and team, we’re unable to accommodate concurrent employment at a directly competing medical spa.

Compensation & Growth

  • Starting at $20/hour, based on experience.
  • Opportunity for commission and performance-based bonuses.
  • Ongoing training in medical aesthetics, skincare, and practice operations.
  • Room to grow into expanded administrative responsibilities as the practice grows.

✨ Join a team where clinical excellence meets bedside art, where every interaction inspires confidence, care, and beauty.

To apply: Send your resume, a brief note about your interest, and why you would be a positive addition to the team
