Job Description

We’re looking for someone to run the day-to-day front office of our boutique Beverly Hills oculofacial plastic surgery practice and guide patients from their first inquiry through surgery. You’ll meet with patients after consultations, review quotes, coordinate deposits and surgery dates, and take responsibility for patient follow-up. You’ll also organize front-desk coverage, train support staff, and work directly with our surgeon to improve how the office runs.

Experienced patient care coordinators, surgical coordinators, and hands-on medical office managers are encouraged to apply. We also welcome Registered Nurses and Physician Assistants with relevant experience who want a primarily patient-coordination and practice-operations role. Clinical licensure is optional.

Responsibilities

  • Respond to calls, texts, and emails, explain the consultation process, schedule visits, and assist with check-in and checkout.
  • Prepare written quotes and explain surgeon, facility, and anesthesia fees, deposits, and payment deadlines.
  • Follow up with patients considering surgery and document the agreed next step and date in the practice’s system.
  • Coordinate dates with patients, our surgeon, and outside surgical facilities. Track deposits, balances, forms, clearances, and preoperative and postoperative appointments.
  • Review upcoming cases for missing items and route medical questions promptly to our surgeon or the appropriate clinician.
  • Maintain a shared list of open inquiries, quotes, and surgical cases. Review outstanding items with our surgeon weekly and coordinate coverage with front-office support.

Experience

We’re looking for someone who has personally discussed private-pay treatment fees, followed up after consultations, and coordinated elective procedures. Experience in plastic surgery, oculoplastics, facial plastics, cosmetic dermatology, LASIK, or another elective surgical practice is strongly preferred.

You should be comfortable discussing fees, working directly at the front desk or back office, and following a case through several people and schedules. Experience with an electronic medical record is required. This is an administrative and patient-facing position. Clinical licensure is optional.

Application Questions:

  • What has you leaving your current position?
  • Which EMR/practice-management systems have you used?
  • Describe your experience in plastic surgery, dermatology, cosmetic medicine, ophthalmology/oculoplastics or another elective specialty.
  • What hourly compensation are you seeking for this position?
  • What is your system for tracking patient tasks, to do lists, open quotes, deposits, and pending paperwork?

Key Responsibilities

  • Lead daily front-office operations, coordinate desk coverage, and train support staff.
  • Respond to patient calls, texts, and emails and schedule consultations.
  • Meet with patients after consultations to review surgical quotes and next steps.
  • Follow up with patients considering surgery and track open quotes in DrChrono.
  • Collect and document surgical deposits, balances, and other patient payments.
  • Book surgery dates with patients and facilities, track clearances, and schedule pre- and postoperative visits.

Qualifications

  • Three or more years of patient coordination experience preferred, ideally in plastic surgery or a comparable elective practice.
  • Experience booking surgeries with outside facilities and tracking preoperative requirements.
  • Confidence presenting surgical quotes, discussing fees, and collecting deposits.
  • Experience leading a medical front office and training support staff.
  • Proficiency with EMR and scheduling systems, ideally DrChrono, to track patient follow-up.
  • Warm, clear communication by phone, text, email, and in person.
