About the Role

We’re looking for a warm, polished, and highly personable Patient Concierge / Front Office Coordinator to welcome patients, support their treatment journey, and help create a luxury experience from the moment they walk in.

This is an ideal role for someone who:

  • Loves engaging with patients
  • Enjoys being the “first impression” of a practice
  • Has experience in aesthetics, wellness or other related field
  • Wants to grow their career in the medical aesthetic/wellness space 

You’ll play an essential role in keeping our practice running smoothly, supporting both the patient experience and day-to-day operations.

Key Responsibilities

  • Greet patients warmly and ensure they feel welcomed, valued, and cared for
  • Assist patients with check-in/check-out, scheduling, forms, and membership or treatment questions
  • Answer phones, emails, and messages with clarity and professionalism
  • Support providers by preparing rooms, helping with patient flow, and coordinating daily schedules
  • Provide basic education on treatments, services, and skincare products (training provided)
  • Assist with light sales tasks such as introducing promotions or products, but with a supportive, consultative approach

Qualifications

  • 1–2+ years of experience in a front desk, or patient-facing role
  • Experience in aesthetics, beauty, dermatology, plastic surgery, spa, or wellness strongly preferred
  • Exceptional communication, listening, and interpersonal skills
  • A polished, warm, and professional demeanor
  • Highly organized, detail-oriented, and able to juggle multiple tasks smoothly
  • A team player with a positive attitude and desire to grow within the medical aesthetics field
