Our practice is an upcoming, high-end, bespoke medical spa currently under construction, with a target construction completion date of January/February, 2027. We are building a premium aesthetic and wellness experience and are seeking a knowledgeable, resourceful, and detail-oriented professional to help bring our vision to life.  We are looking for an experienced medspa professional who can work directly with the Founder to develop the operational foundation, administrative systems, service offerings, and staffing processes necessary to prepare the practice for a successful opening.  This is an opportunity to play a meaningful role in building a medspa from the ground up, contribute your industry expertise, and help establish the foundational systems and processes that will support our long-term growth.

Position Overview:

The Interim Medspa Operations/Launch Specialist/Operations Manager will work closely with the Founder on a part-time, interim, hourly basis, with independent contractor (1099) status. They will help prepare the practice for opening within the next 2–3 months. Because the physical space is still under construction, this position will initially focus on pre-opening planning, administrative development, website content, pricing research, membership development, staffing support, documentation, and operational readiness. The work will be completed remotely at first, no matter where the candidate is located. If the candidate is local, we can move into the space as it nears the end of its construction phase. The ideal candidate has hands-on experience in the medical spa industry, understands the operational demands of launching or managing a medspa, and can offer practical recommendations while taking ownership of assigned projects. We are looking for someone who is comfortable working collaboratively in a developing business environment, managing multiple priorities, and helping turn ideas into actionable plans.

Key Responsibilities:

1. Pre-Opening Operations & Business Development

  • Assist with miscellaneous administrative paperwork, organizational tasks, and pre-opening projects.
  • Identify operational needs, recommend best practices, and help develop efficient workflows.
  • Share relevant industry knowledge, experience, and recommendations to support launch planning and decision-making.
  • Help prioritize and coordinate outstanding tasks to keep the business on track for its planned opening.

2. Website Development & Digital Infrastructure

  • Review and revise existing website copy to reflect the practice’s brand, services, and offerings.
  • Develop customized frequently asked questions (FAQs) for the specific services, treatments, and aesthetic devices offered by the practice.
  • Assist with connecting the website to Google Analytics and establishing basic website performance tracking.
  • Help establish a temporary business phone number and coordinate related setup.
  • Collaborate with the Founder to ensure website content is accurate, professional, and consistent with the business’s service offerings.

3. Service Pricing, Packages & Membership Development

  • Research competitor medspas and comparable aesthetic businesses to develop informed, competitive pricing for the practice’s services.
  • Conduct pricing research and provide recommendations based on local market positioning, service offerings, and relevant competitive factors.
  • Help develop service packages, membership structures, and promotional offerings.
  • Assist in creating proprietary names, descriptions, and positioning for the practice’s membership programs and packages.
  • Help establish a cohesive service menu and pricing structure that supports the business’s brand, customer experience, and financial objectives.

4. Human Resources & Recruitment Support

  • Assist the Founder with the recruitment and interview process for prospective employees.
  • Review employment applications and help organize candidate information.
  • Assist with personalizing employment contract templates for prospective team members, coordinating with appropriate legal counsel as needed.
  • Help organize onboarding materials and employment documentation for incoming staff.
  • Provide recommendations regarding staffing needs, candidate qualifications, and medspa team structure.

  • Assist with completing applicable New Jersey state registration forms and pre-opening administrative requirements.
  • Create and organize compliance folders for upcoming staff members.

  • Coordinate with the Founder and appropriate legal, medical, and compliance professionals when specialized review or approval is necessary.

6. EMR & Patient Intake Preparation

  • Assist with organizing and preparing patient intake paperwork within the designated electronic medical records (EMR) system.
  • Help coordinate intake forms, patient documentation, and related administrative workflows.
  • Support the development of an organized documentation process in preparation for patient onboarding and the opening of the practice.

7. Collaborative Launch Planning

  • Work as a collaborative partner with the Founder to move the practice from its pre-opening stage toward operational readiness.
  • Offer practical feedback and industry insight regarding systems, staffing, patient experience, and day-to-day medspa operations.
  • Track outstanding tasks, communicate progress, and help identify potential obstacles before opening.
  • Contribute to a positive, solutions-oriented working relationship focused on getting the practice ready to welcome its first clients.

Qualifications:

  • Previous experience working in a medical spa, aesthetic practice, cosmetic dermatology office, or a similar healthcare or aesthetics business.
  • Experience in medspa management, operations, business development, practice administration, or pre-opening preparation strongly preferred.
  • Familiarity with aesthetic services, medical spa equipment, treatment offerings, and industry pricing.
  • Understanding of medspa memberships, service packages, pricing strategies, and competitive market research.
  • Experience with website content development, business administration, or digital tools such as Google Analytics is a plus.
  • Familiarity with EMR systems, patient intake documentation, employee onboarding, and compliance organization.

  • Ability to manage multiple projects independently while maintaining clear communication with the Founder.
  • A proactive, resourceful, collaborative mindset and the ability to work effectively in a startup environment.
  • Familiarity with New Jersey medical spa regulations and operational requirements is highly desirable.

Position Details:

  • Employment classification: Independent contractor (1099).
  • Duration: Temporary, part-time engagement focused on pre-opening development.
  • Schedule: Up to 20 hours per week; actual hours will depend on project needs and mutual agreement.
  • Compensation: $35-$45/hour, commensurate with experience and qualifications.
  • Location: Remote (online) or local within reasonable proximity to our location in Old Tappan, New Jersey (Bergen County, NJ).
  • Work environment: Primarily administrative, planning, research, and operational development while the physical location is under construction.
  • Target construction completion: January 2027.
  • Launch objective: Prepare the practice for opening within approximately 3–4 months, subject to construction, regulatory approvals, staffing, and other operational dependencies.

Potential Opportunity for Long-Term Employment:

For the right candidate, this interim engagement may develop into an ongoing role with the practice, especially if they are local.  A local candidate who is interested in a longer-term position may have the opportunity to transition into a Medspa Manager role, helping oversee daily operations, staff coordination, patient experience, and continued business development once the practice opens.  Any ongoing position, responsibilities, compensation, and employment arrangement would be discussed separately based on business needs, candidate interest, mutual fit and would transition out of the 1099 role.

Who We Are Looking For:

We are looking for more than someone who can simply complete a checklist. We want a knowledgeable, dependable professional who understands the realities of the medspa industry and can serve as a trusted operational partner to the Founder.  The ideal candidate enjoys building systems, solving problems, researching opportunities, sharing ideas, and helping establish a business from the ground up.
