Patient Coordinator
Full-Time, Salaried | $58,000 – $65,000 based on experience
Reports to the Practice Manager | Non-Clinical
We are looking for a Patient Coordinator to be the first face and first voice our patients experience. If you are warm, unflappable, and take real pride in a front desk that runs beautifully, we would love to meet you.
The Role
Our Patient Coordinators set the tone for every visit. You are the person who greets patients when they arrive, the voice that answers when they call, and the steady hand that keeps the schedule, the paperwork, and the front of the practice running smoothly. This is a hands-on role at the center of a busy aesthetic practice, with a mix of patient engagement, scheduling, payments, and office operations. No two days look exactly alike, and the best people in this seat enjoy that.
What You Will Do
Patient experience
- Greet and check in patients, and serve as their go-to liaison throughout their relationship with the practice
- Answer incoming calls, return voicemails, and follow up promptly on patient requests
- Become knowledgeable about every treatment, procedure, and surgery we offer so you can guide patients confidently
- Keep the waiting area and front desk organized, clean, and polished to the standard our patients expect
Scheduling and records
- Manage multiple provider schedules, including creating, confirming, and rescheduling appointments and rearranging provider time when needed
- Create new patient charts and make sure documents, including sensitive records and photos, are collected and filed correctly
- Maintain HIPAA compliance at all times
Payments and office operations
- Collect patient payments and reconcile, sort, and secure them at the end of each business day
- Open and close the office
- Sort incoming mail, receive and unpack deliveries, and confirm receipt of items
- Perform inventory as needed and keep exam rooms stocked and ready for providers and patients
- Keep the break room and shared spaces neat
- Pitch in to help administrative, clinical, medical, and professional staff as requested, within the scope of your training
What We Are Looking For
- High school diploma
- Excellent verbal and written communication skills and fluent English
- Proficient typing skills and basic knowledge of Microsoft Word and Excel
- Comfort with basic math and handling payments
- Electronic Medical Record (EMR) experience is a plus
- Medical or aesthetic practice experience is a plus
