We are a boutique plastic surgery practice in the heart of Nashville, home to two plastic surgeons, an on-site surgical suite with a second suite under construction, and an Aesthetic Center. We are looking for a high-energy, dependable Front Desk Patient Coordinator to be the first face and first voice our patients experience. If you are warm, calm under pressure, and take real pride in a practice that runs beautifully, we would love to meet you.
The Role
We have one opening, which will be filled as either a Front Desk Coordinator or a Patient Care Coordinator depending on the candidate's experience. You will greet and check in patients, keep the phones and schedule running smoothly, and guide patients from their first call through consultation, surgery, and recovery.
One of our surgeons sees both cosmetic and insurance patients, so this role also handles insurance verification, copays, patient balances, and prior authorizations with hospitals and our billing partner. No two days look the same, and the right person will enjoy that.
What You Will Do
Patient experience
- Create a warm first impression for every patient, in person and by phone, and serve as their trusted guide from first inquiry through recovery
- Become fluent in our procedures and treatments to confidently guide patients through the consultation process
- Run hyperbaric oxygen chamber sessions and keep the reception area polished to our standard
Scheduling and surgical coordination
- Manage schedules for both surgeons, from consultations and pre-ops to surgery dates with our suite and partner hospitals
- Own pre-visit and pre-surgery communication: confirmations, intake forms, pre-op instructions, before-and-after photos, and surgery-day preparation
- Respond promptly to new patient inquiries and keep every chart complete and accurate in Nextech
Insurance and payments
- Verify insurance and coordinate prior authorizations and predeterminations with hospitals and our billing partner
- Collect consultation fees, copays, deposits, and patient balances, including third-party financing
- Reconcile daily payments and prepare deposits
Office operations
- Open and close the office and manage mail, faxes, deliveries, and practice trackers
- Uphold HIPAA standards and support the team wherever needed
What We Are Looking For
We are looking for two different types of applicants: polished front desk professionals or experienced patient or surgical coordinators.
Required
- High school diploma
- At least 1 year in a patient-facing role at a medical, dental, dermatology, med spa, or aesthetic practice
- Excellent verbal and written communication skills
- Confidence and accuracy handling payments and end-of-day reconciliation
- Proficient typing and working knowledge of Microsoft Office and email
- Solid work history, reliable attendance, and a professional, polished presence
A big plus
- Insurance verification, prior authorization, or predetermination experience
- Plastic surgery, surgical scheduling, or patient care coordinator experience
- Nextech or another EMR system
- Knowledge of medical billing and coding
- Bachelor's degree

Schedule, Pay and Benefits
- Hours: 36–40 hours per week; Monday–Thursday 8:00 AM–4:30 PM, Friday 8:00 AM–12:00 PM

Key Responsibilities

Qualifications
- Experience: At least 1 year in a patient-facing role at a medical, dermatology, med spa, or aesthetic practice. Plastic surgery experience is a plus.
- Communication: Excellent verbal and written communication, with a warm, polished, professional presence.
- Insurance knowledge: Familiarity with insurance verification, prior authorizations, or predeterminations is strongly preferred.
- Multitasking: Able to juggle phones, patients, and scheduling in a fast-paced environment without missing a detail.
- Technology: Comfortable with EMR systems and Microsoft Office. Nextech experience is a plus.
- Reliability: Dependable, with a solid work history, strong attendance, and a commitment to HIPAA and confidentiality.
