Assistant Patient Coordinator Job Description
The Assistant Patient Coordinator is a licensed esthetician who provides advanced medical aesthetic treatments while helping patients build long-term treatment plans. With this patient coordinator job you will play a lead role in coordinating the day-to-day front desk and clinical operations of our Framingham/Shrewsbury office, while also providing services and educating patients about their skin and body goals.
Key Responsibilities
- Act as an front desk patient coordinator greeting patients, answering calls, managing appointment schedules, and ensuring smooth patient flow
- Conduct patient consultations and create personalized aesthetic treatment plans based on client goals and eligibility
- Educate patients on available treatments such as IPL/Photofacials, Fractional Laser, DiamondGlow, Laser Hair Removal, CoolSculpting, EMSCULPT NEO, Venus Legacy, and Tattoo Removal
- Perform advanced aesthetic procedures following protocols while acting as a medical esthetician assistant to support physician-led care
- Process patient records, verify payments, and update EMR systems post-visit
- Partner with the Lead Patient Coordinator to oversee inventory, patient retention, sales, and marketing strategy
- Lead community engagement initiatives and support outbound marketing to build referral partnerships and brand awareness
Requirements
- Active Licensed Esthetician (LE) or Licensed Medical Esthetician credential in Massachusetts
- Minimum 3 years of sales experience, preferably in cosmetic or medical spa environments or licensed esthetician jobs
- Proven ability to build lasting patient relationships and exceed monthly sales/revenue targets
- Background in patient care coordination, treatment planning, or medical assistant and esthetician support roles is highly valued
- Experience in laser devices, skincare lines like SkinCeuticals, SkinMedica, Obagi, NeoCutis, and advanced technologies like PICO Genesis
- High emotional intelligence, professionalism, and ability to work autonomously any patient coordinator jobs
- Strong understanding of patient coordinator responsibilities, including intake, charting, follow-ups, and EMR systems
Ideal Candidate Will Have:
- Experience with esthetician assistant jobs in a plastic surgery, dermatology, or med spa setting
- Solid understanding of licensed esthetician requirements and treatment safety protocols
- Familiarity with licensed esthetician school curriculum and patient-facing skincare treatments

Qualifications
- Licensed esthetician with management experience and a strong foundation in the aesthetics or wellness industry.
- 3+ years of sales experience, ideally with a focus on business-to-consumer engagement.
- Proven ability to build meaningful, long-term relationships with patients and clients.
- Consistently exceeds revenue and profit goals through relationship-driven strategies.
- Demonstrates exceptional communication, interpersonal skills, and a commitment to outstanding customer experiences.
- Self-starter with a high level of motivation; industry experience in aesthetics, wellness, fitness, med spa, or related fields preferred.
