Position Overview
The Assistant Patient Coordinator role is designed for licensed estheticians who are passionate about skincare, sales, and delivering 5-star client experiences. You will coordinate patient journeys from the front desk to the treatment room - bridging administrative duties with hands-on clinical care. This is more than a typical esthetician job - you’ll support our providers in delivering transformative aesthetic results while managing key clinic operations.
Key Responsibilities
- Welcome patients as a front desk coordinator, manage calls, check-ins, and appointment scheduling to ensure optimal flow
- Conduct skin consultations and develop personalized aesthetic treatment plans aligned with client needs and eligibility
- Educate patients on medical-grade services such as IPL, Laser Hair Removal, CoolSculpting, DiamondGlow, EMSCULPT NEO, Tattoo Removal, and more
- Perform advanced facial treatments and act as a medical esthetician assistant under the guidance of licensed providers
- Input and maintain patient data in our HIPAA-compliant EMR system
- Coordinate inventory, patient follow-ups, and sales strategy alongside the Lead Patient Coordinator
- Represent the brand through community engagement, local partnerships, and marketing support
What We’re Looking For
- Active Licensed Esthetician (LE) in the state of Massachusetts
- 3+ years of professional experience in esthetician jobs, with proven success in client sales and treatment planning
- Strong knowledge of medical aesthetics, cosmetic devices, and skincare product lines like SkinCeuticals, SkinMedica, Obagi, NeoCutis
- Familiarity with esthetician qualifications and clinical protocol compliance
- Previous work in assistant patient coordinator job roles, cosmetic sales, or spa coordination preferred
- Solid grasp of esthetician requirements, including documentation, intake procedures, and EMR system usage
- High emotional intelligence, professionalism, and comfort in both clinical and sales conversations
- Passion for aesthetic innovation, patient outcomes, and growing within the medical esthetics industry
Preferred Backgrounds
We strongly encourage candidates who have previously held titles such as:
- Licensed Esthetician or Medical Esthetician Assistant
- Patient Care Coordinator or Aesthetic Patient Coordinator
- Front Desk Esthetician Assistant or Laser Technician / LE
- New Patient Coordinator in dermatology, plastic surgery, or medical spa environments
Education & Training
- Completion of an accredited esthetician school or esthetician course with a valid MA esthetician license
- Ongoing esthetician training in advanced devices and cosmetic services is preferred
- Understanding of assistant patient coordinator responsibilities, including client education, sales, intake coordination, and EMR follow-through
