Position Overview

We’re looking for a detail-oriented, tech-savvy Administrative Assistant to support the daily operations of our remote, fast-paced team. This role requires strong organizational skills, excellent communication, and the ability to work independently. Must live in MST or CST time zones.

Key Responsibilities

Communication & Scheduling

  • Manage internal and external email and Google Voice communications
  • Draft and manage contracts and professional correspondence
  • Support social media messaging in collaboration with the team
  • Maintain founders’ calendars and coordinate all meetings
  • Manage the company’s internal and industry event calendars

Marketing & Content Support

  • Maintain the marketing calendar and oversee email campaigns
  • Assist with social media content creation and scheduling
  • Manage and update user databases

Website & ATS Management

  • Post jobs and maintain candidate/client records
  • Troubleshoot technical issues and coordinate with developers
  • Maintain website content and distribute blog posts

Client Onboarding & HR Support

  • Send client agreements and onboarding materials
  • Set up new clients in the ATS
  • Manage HR tasks, including PTO, holidays, and insurance enrollment
  • Support contractor oversight and internal hiring processes
  • Maintain the company operations manual

Qualifications

  • Previous administrative or operational support experience
  • Highly organized with strong multitasking skills
  • Clear and professional communication skills
  • Proficient in Excel, PowerPoint, and Google Workspace
  • Comfortable learning new technologies
  • Dependable and self-motivated in a remote setting
  • Familiarity with the medical aesthetics industry is a plus

Compensation: $45,000–$55,000 annually + bonus potential

Schedule: Full-Time, Monday–Friday, 9:00 AM – 6:00 PM CST / 8:00 AM – 5:00 PM MST
