Job Description

We are seeking an experienced Practice Manager to lead daily operations and long-term growth for a boutique medical aesthetics practice in Oak Park, IL. This role is responsible for overseeing both people and systems to ensure the clinic operates efficiently, consistently, and at a high standard of patient care.

The Practice Manager plays a key leadership role in building a strong, accountable team culture while implementing scalable operational systems that support performance, growth, and an elevated patient experience.

This is a hands-on leadership position that blends operations, team development, and business strategy.

Key Responsibilities

Operations & Patient Experience

  • Oversee daily clinic operations and patient flow
  • Optimize provider schedules for efficiency and utilization
  • Ensure a high-end, consistent patient experience across all touchpoints
  • Monitor feedback and implement service improvements
  • Maintain clinic readiness, cleanliness, and operational standards

Systems, Inventory & Compliance

  • Manage EMR/CRM systems and ensure proper utilization
  • Oversee inventory, purchasing, and vendor relationships
  • Ensure accurate daily reconciliation processes
  • Maintain SOPs, policies, and operational documentation
  • Support compliance with all clinical and safety standards

Team Leadership

  • Lead, coach, and develop front office and clinical support teams
  • Conduct regular meetings, training, and performance check-ins
  • Foster a culture of accountability, ownership, and professionalism
  • Serve as primary escalation point for staff and operational issues
  • Oversee onboarding and ongoing staff development

Growth & Performance

  • Partner with ownership on revenue goals and budgets
  • Track KPIs and operational performance metrics
  • Identify opportunities to improve efficiency and drive growth
  • Support incentive and performance-based compensation programs

Marketing & Brand Support

  • Coordinate marketing initiatives and patient communications
  • Ensure brand consistency across all channels
  • Oversee content, campaigns, and vendor/creative partners
  • Support execution of promotional and retention strategies

Work Environment

This is an in-person leadership role essential to daily operations, team oversight, and clinic performance. Some flexibility may be available once fully established in the role.

Qualifications

  • Experience in medical aesthetics, healthcare, or premium service-based operations
  • 3+ Years Strong leadership and team management experience
  • Operational and systems-oriented mindset
  • Experience with EMR/CRM platforms and business tools (e.g., Aesthetic Record, QuickBooks or similar)
  • Experience supporting marketing coordination and vendor management
  • Strong communication, organization, and problem-solving skills
