We are seeking a polished, dynamic Front Desk Receptionist/Conciergeto join our highly respected Newport Beach plastic surgery and med spa practice with an award-winning and renowned surgeon.
This is a unique opportunity for someone who thrives in an elevated environment, values professionalism, and takes pride in delivering a seamless, white-glove patient experience. You will be the first impression of the practice and a key part of a calm, detail-driven, and drama-free team.
The Role
- Serve as the primary point of contact for patients
- Manage scheduling, communications, and patient flow
- Support daily front-office and administrative operations
- Maintain an organized, welcoming, high-end office environment
- Coordinate social media posting (4x/week, on-brand content)

Key Responsibilities
- Answer and triage phone calls with professionalism and accuracy
- Schedule consultations, procedures, post-ops, and treatments
- Manage check-in, check-out, payments, receipts, and follow-ups
- Prepare charts, confirm appointments, and manage patient portals
- Scan and organize medical records accurately and promptly
- Follow up persistently and professionally with no-shows and cancellations
Qualifications
- Professional Presence & Emotional Intelligence - poised, calm, and confident in all interactions, with the ability to read situations, maintain discretion, and represent a high-end medical practice with polish.
- Exceptional Communication Skills - clear, warm, and articulate on the phone, in person, and in writing, with the ability to guide patients, manage expectations, and follow through consistently.
- Strong Organizational & Follow-Through Skills - highly detail-oriented with the ability to manage schedules, documentation, and multiple priorities without dropping the ball.
- Technical & Systems Savvy - comfortable learning and using practice management systems, digital records, and basic office technology in a fast-paced environment.
- Social Media Awareness & Brand Sensibility - familiar with social platforms and able to create tasteful, on-brand content that aligns with a luxury aesthetic and professional medical standards.
- Patient-Centered, Service-Oriented Mindset - genuinely invested in creating a seamless, reassuring, white-glove experience for every patient from first contact to follow-up.
