Job Description
Dallas, Texas – Boutique Plastic Surgery Practice is seeking an experienced Front Office Coordinator
The practice is owned by a Board Certified, Fellowship Trained Plastic Surgeon and caters to a discerning clientele. This practice specializes in breast and body procedures, as well as facial plastic surgery and breast reconstruction.
Applicants should be highly driven and motivated in the following:
- Service – Preserving and improving a patient-centered environment. Creating a warm and welcoming hospitality type of experience with attention to detail. Anticipating patient desires and needs and going above and beyond
- Professionalism –In addition to the doctor, PA, and patient coordinators for both insurance and cosmetic, this employee will have daily interactions and working relationships with the med spa staff, as well as patients. Professionalism in dress and presentation, honesty, excellent work ethic and positive attitude are integral
- Interpersonal skills – Positive, friendly, and professional attitude with patients and co-workers. Making sure patients feel heard, known, and appreciated from the first interaction to their final post-operative appointment. Teamwork mentality with small, engaged staff to promote the best practice and patient experience.
- Organization and Attention to Detail - Excellent follow-up discipline and skills and a self-starter willing to work in a sleeves-rolled up, hands-on fashion. Accuracy and ability to stay on task and ahead of any potential problems.
Education and Work Requirements
- College experience is preferred
- 3-5 years experience in reception/front office position – preferably in cosmetic plastic surgery, med spa, medical field or hospitality
- Candidate will be able to provide references
Additional Considerations
- Live within a 30 minute commute of the office
- Knowledge of medical software is preferred
Position Responsibilities
Communication
- Comfortable handling high call volume and multitasking throughout the day
- Prompt, courteous, and professional communication skills (phone, email, and in-person)
- Daily intraoffice communication and planning with PA, Insurance Coordinator and Cosmetic Coordinator
- Regular correspondence with referring physician offices
Scheduling
- Scheduling and confirming appointments, with special attention to reminders to prevent no-shows
- Ensuring clinic runs smoothly by organized and efficient management
- Pre-appointment personal communication with patients
- Coordinate with medical spa to ensure exam room availability throughout clinic days
Computer Skills
- Uploading all files to patient chart
- Making sure all imaging orders are sent to imaging centers and follow up
- Creating surgical checklist on excel and confirming medical supply orders and insurance authorizations for surgery
- Proficiency in excel, word, and medical software
- Medical and Administrative Tasks
- Autoclaving and cleaning instruments
- Managing rewards points for ALLE for patients
- Ordering medical and office supplies
- Ensuring patient awareness of upcoming surgery locations and post-operative instructions
