Patient Experience Coordinator
Job Info
Job Description
Boutique Plastic Surgery Practice | New York City
Part-Time | Manhattan | $30–40/hour, commensurate with experience
We are a growing boutique plastic surgery practice in New York City focused on providing exceptional, highly personalized care to patients seeking natural, sophisticated aesthetic results.
We are seeking a polished, personable, highly organized Patient Experience Coordinator to become an integral part of the practice as we establish and grow our New York City location.
This is an opportunity for someone who enjoys working in a high-touch, luxury environment and wants to play a meaningful role in building a practice from the ground up.
The Role
The Patient Experience Coordinator will be the primary administrative point of contact for our patients and prospective patients.
You will help guide patients through the entire experience—from their first phone call or inquiry through consultation, scheduling, surgery, and postoperative care.
Responsibilities will include:
- Answering and managing incoming phone calls, emails, and patient inquiries
- Responding promptly and professionally to new patient leads
- Scheduling consultations and surgical procedures
- Managing the physician's calendar and coordinating patient appointments
- Following up with prospective patients after consultations
- Coordinating deposits, preoperative paperwork, and appointments
- Communicating preoperative and postoperative instructions
- Maintaining accurate patient information within the practice's systems
- Coordinating with operating rooms, anesthesia teams, and outside vendors as needed
- Greeting patients and providing a warm, polished in-office experience
- Preparing the office for consultation and surgical days
- Assisting with patient photography and administrative workflow
- Coordinating postoperative visits and follow-up
- Helping maintain an organized, efficient, and exceptionally patient-focused office
- Being discrete with high-profile patients
- Helping develop and improve the patient experience as the practice grows
Who We're Looking For
The ideal candidate is:
- Warm, polished, personable, and exceptionally professional
- Highly organized and detail-oriented
- Comfortable communicating with affluent and discerning clientele
- An excellent verbal and written communicator
- Responsive and proactive rather than simply reactive
- Comfortable working independently in a small, entrepreneurial practice
- Comfortable learning new technology, scheduling systems, and EMR/CRM platforms
- Discrete and respectful of patient privacy
- Interested in building something rather than simply filling a role
Preferred Experience
Experience in one or more of the following is strongly preferred:
- Plastic surgery
- Dermatology
- Aesthetic medicine
- Cosmetic dentistry
- Luxury dining or hospitality
Experience with plastic surgery patient coordination, consultation scheduling, or elective surgery is a plus but not required.
Schedule
Initially approximately 16–24 hours per week, with the opportunity for additional hours as the practice grows.
The schedule will generally consist of 2–3 days per week, with flexibility to work additional days during periods when the physician is in New York.
Because the practice is growing, this role offers the opportunity for increased responsibility and hours over time.
Compensation
$30–40/hour, depending on experience and qualifications.
Additional performance-based compensation may be available as the practice grows.
Why Join Us?
This is an opportunity to join a young, rapidly growing boutique plastic surgery practice at an early stage and have a meaningful role in shaping how the practice operates.
You will work directly with the surgeon and have significant ownership over the patient experience, rather than being one employee in a large medical office.
The right person will have the opportunity to grow into a larger Practice Manager / Patient Experience Director role as the New York practice expands.
To Apply
Please submit:
- Resume
- Brief description of your relevant experience
- Your current availability
- Your desired hourly compensation
Please also include a brief answer to the following:
A prospective facelift patient calls and says, "I'm interested in Dr. X, but his fees are higher than another surgeon I've been considering." How would you respond?
We are particularly interested in candidates who understand that exceptional plastic surgery is not simply about scheduling an appointment—it is about creating a highly personalized patient experience from the very first interaction.
