About the Role

As our Patient Coordinator, you will curate a seamless, elevated experience for each patient — from initial consultation to final pre-operative‑operative visit. You will blend hospitality with clinical coordination, guiding patients with poise, confidence, and discretion. This role is ideal for someone with proven experience in a luxury medical setting who delivers white‑glove service utilizing exceptional communication skills.

Key Responsibilities

  • Serve as the primary concierge for surgical patient communications
  • Welcome patients with a polished, upscale service approach that reflects our brand values
  • Educate patients on procedures, recovery timelines, and surgeon recommendations with clarity and confidence
  • Arrange pre-operative dates, pre-surgical clearances, and surgery dates
  • Present customized plans, review pricing and financing options with sensitivity and professionalism
  • Ensure all medical documentation and consents are impeccably prepared and organized.
  • Coordinate with insurance billing team to ensure timely and effective approval and claim processing.
  • Manage the patient journey, anticipating needs and ensuring they feel supported every step of the way
  • Collaborate closely with surgeons, physician assistants and clinical providers to ensure a smooth and luxurious experience
  • Assist with curated patient content such as testimonials, photography coordination, and VIP follow-up

Qualifications

  • Experience in luxury plastic surgery, dermatology, aesthetics, or a premium hospitality environment (3+ years preferred)
  • Exceptional communication skills with a calm, polished, and refined presence
  • Outstanding organizational skills and unwavering attention to detail
  • Confidence guiding patients through procedure options, pricing, and scheduling
  • Ability to maintain confidentiality and discretion at all times
  • Proficiency with EMR/EHR systems, scheduling software, and Microsoft Office
  • Bilingual (English/Spanish) highly preferred for elevated guest experience
