Job Description

We are a premier facial plastic surgery practice and medical spa located in Pacific Heights, seeking an experienced, polished Patient Coordinator to join our growing team.

We are looking for someone who understands the aesthetic patient journey, thrives in a fast-paced, high-touch environment, and can confidently guide patients from initial inquiry through treatment conversion and follow-up.

As a Patient Coordinator, you will be the face and voice of the practice—responsible for delivering a seamless, luxury-level experience while also supporting revenue growth through patient education and treatment conversion.

Key Responsibilities

  • Manage a high volume of inbound calls, web inquiries, and patient communications
  • Schedule, confirm, and optimize provider calendars
  • Serve as a primary point of contact for new and returning patients
  • Conduct consultations support and guide patients through treatment plans
  • Confidently recommend and sell aesthetic treatments and skincare products
  • Perform clinical photography with attention to detail and consistency
  • Coordinate patient flow to ensure an efficient and elevated experience
  • Process invoices, financing options, and collect payments
  • Maintain accurate patient records and documentation
  • Support daily clinic operations including opening/closing duties
  • Uphold strict confidentiality and professionalism at all times

What We’re Looking For

  • 2+ years of experience in a plastic surgery practice, dermatology office, or medical spa (required)
  • Proven ability to convert consultations into booked procedures/treatments
  • Strong sales acumen with a patient-first approach
  • Exceptional communication skills—phone, email, and in-person
  • Highly organized with strong attention to detail
  • Ability to multitask and prioritize in a fast-paced environment
  • Professional, polished appearance and demeanor
  • Tech-savvy and comfortable learning EMR/CRM systems
  • Reliable, punctual, and team-oriented
