We are a boutique Facial Plastic Surgery practice seeking an exceptional Patient Care Coordinator to serve as a central figure in our patient experience and surgical care journey. This is a highly visible, high-impact role ideal for a polished, motivated professional who thrives in a fast-paced, detail and hospitality-driven environment and takes pride in delivering compassionate, white-glove service. The Patient Care Coordinator works closely with the surgeon, business director, and front office team to guide patients through complex surgical and non-surgical decisions, ensure seamless coordination of care, and uphold the highest standards of professionalism, discretion, and reliability. This position is best suited for someone who values ownership, anticipates needs before they arise, and finds purpose in helping patients feel informed, confident, and supported at every step of their experience.
Key Responsibilities
- Educates prospective patients about their aesthetic goals and discusses surgical and non-surgical options during phone inquiries as well as during office consultations
- Ensures patients are prepared for consultation: have discussed timeline of surgery, pricing, financial policy, what to expect during consultation prior to the consultation.
- Generates and provides surgical quotes, discusses financial policies, reviews surgical schedule and next steps with patients. Encourages qualified patients to book surgery.
- Sends any inquiries to the surgeon that may warrant discussion to help figure out best way to schedule (photo review when necessary).
- Maintains details on all new patients and calculates the practice’s conversion rate of consultations to surgeries each month along with reviewing "lost leads" with the Business Director and surgeon to identify opportunities for improvement
- Schedules surgeries – coordinates patient pre-operative paperwork, clearances/H&P, examinations, and lab work, and obtains written consent for procedures
Qualifications
- Three to five years of work experience, with increased responsibility, in a surgical practice, service, hospitality, or travel industry
- Experience with practice management systems and electronic health records
- Strong customer focus with a caring attitude and passion for helping others
- Strong attention to detail and superior organizational skills
- Ability to multitask under pressure and be highly responsive to patients and team members
- Ability to maintain the highest degree of professionalism at all times
