Position Overview
We are seeking an experienced and dynamic Office Manager with a strong background in aesthetic clinics. This role is essential in overseeing daily operations, leading the front desk team, optimizing patient experience, and ensuring the business runs efficiently and profitably.
The ideal candidate is a natural leader who can unite the team, drive performance, and create a seamless patient journey from first contact to follow-up.
Key Responsibilities
Team Leadership & Culture
- Lead, motivate, and unify the front desk and clinical support team
- Foster a positive, professional, and high-performance work environment
- Coordinate staff schedules and ensure optimal coverage
- Provide training, onboarding, and ongoing team development
Operations Management
- Oversee daily clinic operations to ensure efficiency and organization
- Maintain smooth workflow between providers and front desk
- Identify and resolve operational challenges proactively
- Ensure compliance with clinic protocols and service standards
Front Desk Oversight
- Supervise all front desk functions, including:
- Scheduling and appointment optimization
- Patient check-in/check-out
- Payment processing and package management
- Step in as needed to support front desk responsibilities
Patient Experience & Coordination
- Ensure exceptional patient communication and service at every touchpoint
- Handle escalated patient concerns professionally and efficiently
- Coordinate patient care plans, follow-ups, and retention strategies
- Maintain strong patient relationships and satisfaction
Business & Revenue Management
- Manage and optimize the use of ALLE (rewards program, tracking, conversions)
- Support sales performance, promotions, and membership programs
- Monitor KPIs such as booking rates, retention, and revenue per patient
- Collaborate with leadership on growth strategies and business development
Qualifications
- Minimum 2 years of experience in a medical spa or aesthetic clinic
- Strong knowledge of ALLE platform and aesthetic business operations
- Proven leadership skills with the ability to unite and manage a team
- Solid understanding of front desk operations and patient flow
- Excellent problem-solving and decision-making abilities
- Strong communication and interpersonal skills
- Highly organized with attention to detail and multitasking ability
