Job Description

We are seeking a Full-Time Front Office Coordinator to join an established plastic surgery and aesthetics practice. This is a patient-facing role for someone who is polished, personable, highly organized, and passionate about creating an exceptional patient experience.

The ideal candidate thrives in a busy, high-touch environment and understands that the front office sets the tone for the entire patient experience. You’ll be responsible for creating a warm, welcoming, concierge-level experience while supporting the day-to-day operations of the practice.

The Ideal Candidate

You’re a true people person who enjoys making patients feel comfortable and cared for. You take pride in being polished and professional, but you’re also approachable, energetic, and fun to work with.

You understand that exceptional service goes beyond simply answering the phone and checking patients in. You’re someone who notices what needs to be done, jumps in to help, and takes ownership of creating a positive experience for every patient who walks through the door.

What You’ll Do

  • Welcome and check in patients while creating a warm, professional first impression
  • Answer phones, triage calls appropriately, and schedule appointments
  • Process payments and assist with patient financial information
  • Communicate effectively with patients, providers, and team members
  • Maintain awareness of the daily schedule and help ensure the clinic runs smoothly
  • Educate patients on available services, treatments, and products
  • Support practice growth by proactively promoting services and encouraging patient reviews
  • Assist with administrative tasks including scanning, filing, printing, and medical photo management
  • Room patients and assist with exam room turnover
  • Maintain a clean, organized, and welcoming front-office environment
  • Assist with inventory ordering and shipping returns as needed
  • Participate in ongoing training and professional development
  • Maintain HIPAA compliance and patient confidentiality
  • Support the team wherever needed to provide a seamless patient experience

What We’re Looking For

  • 2+ years of front-desk or front-office experience, preferably in plastic surgery, aesthetics, dermatology, or another medical setting
  • High school diploma or equivalent
  • Professional, polished, and confident communication style
  • Exceptional customer service and interpersonal skills
  • Warm, empathetic, and genuinely patient-focused
  • Strong organizational skills and attention to detail
  • Ability to multitask and remain composed in a fast-paced environment
  • Dependable, flexible, and team-oriented
  • Positive, energetic, and proactive “can-do” attitude
  • Comfortable learning and speaking confidently about treatments, services, and products
  • Strong computer skills and familiarity with Microsoft Office or similar software
  • Ability to prioritize tasks and meet deadlines
  • Willingness to learn, grow, and participate in ongoing training
  • Ability to stand and sit for extended periods and lift up to 25 lbs.

Compensation: $20–$23/hour, based on experience

Schedule: Monday–Friday, approximately 8:30 AM–4:30 PM. Occasional flexibility may be needed to accommodate late-running appointments or extended hours.

Benefits include:
