Certified Medical Assistant / Front Office Position

Location: West Hollywood, CA

Position Type: Full-Time or Part-Time (In-Person)

Compensation: $25–$35 per hour (based on experience)

About the Role

Our practice on Sunset is seeking a motivated, professional, and patient-focused Certified Medical Assistant / Front Office team member to join our growing aesthetics team.

This is a dynamic, dual-role position combining both clinical (back office) and administrative (front office) responsibilities in a fast-paced, high-end aesthetic environment. The ideal candidate is detail-oriented, customer-service driven, and thrives in a collaborative team setting.

Position Summary

The certified Medical Assistant will ensure all treatment rooms are properly prepared and stocked, assist providers during procedures, and support front office operations. This role requires strong communication, organization, and a commitment to delivering an exceptional patient experience.

Qualifications

  • High School Diploma or equivalent (required)
  • Medical Assistant Certification from an accredited program (required)
  • Surgical or aesthetics experience (preferred, not required)
  • Bilingual (English/Spanish) (preferred)

Key Responsibilities

Front Office

  • Greet and check in patients in a professional and welcoming manner
  • Schedule and manage appointments
  • Answer phones and assist with patient inquiries
  • Maintain accurate patient records (EHR, consent forms)
  • Manage patient communication and follow-ups
  • Ensure treatment rooms are clean, organized, and stocked

Back Office

  • Assist providers during procedures and treatments
  • Prepare patients and provide pre- and post-care instructions
  • Administer injections (e.g., vitamins) as permitted/licensed
  • Remove sutures/staples under provider supervision
  • Apply topical or local anesthetics as directed
  • Maintain infection control and sterilization protocols
  • Complete daily opening and closing checklists
  • Perform weekly stock checks to ensure all rooms are fully supplied
  • Conduct monthly device checks to ensure proper functionality
  • Accurately document procedures and treatments
  • Take pre- and post-procedure photos

Patient Experience & Sales

  • Educate patients on skincare and lip products
  • Assist with retail sales and product recommendations
  • Ensure a comfortable, high-quality patient experience

Administrative & Operational Support

  • Assist with inventory management and supply ordering
  • Support scheduling and coordination of care
  • Maintain HIPAA compliance and patient confidentiality
  • Utilize Zenoti, Podium, and other systems (training provided)
  • Assist with marketing events and clinic initiatives

Additional Expectations

  • Prepare treatment rooms and clinic areas in advance
  • Maintain cleanliness and organization throughout the clinic
  • Communicate supply needs to management
  • Adapt to the evolving needs of a fast-paced aesthetic practice

Tools & Technology

  • Zenoti (EHR, scheduling, billing)
  • Podium (patient communication)
  • Microsoft Office (Word, Excel, PowerPoint) & Gmail
  • iPads and standard medical/office equipment
  • Medical devices (Autoclave, Candela lasers, Solta, etc.)

Physical Requirements

  • Ability to stand and/or sit for extended periods
  • Ability to lift and organize supplies (up to 25–50 lbs)
  • Ability to operate standard medical and office equipment
